Provide sales and deal support<\/li>\n<\/ul>\nKey responsibilities<\/h2>\n
Pitch and Proposal Coordination<\/strong><\/p>\n\n- Coordinate with Marketing, Research, and Financial Analyst on behalf of fee-earner for the creation of pitch\/proposal as needed<\/li>\n
- Attend strategy session with fee-earner and other departments as needed<\/li>\n
- Coordinate with Marketing on behalf of fee-earner and deliver necessary information for creation of content (graphic design, mapping, etc.)<\/li>\n
- Schedule meetings with fee-earner and other departments for review and feedback
\nSchedule meetings with prospect and arrange any other accommodations that may be required, such as catering, transportation, and space reservations<\/li>\n - Coordinate with Brokerage Specialist and\/or Marketing on the production of pitch\/proposal when outside vendor is required for printing<\/li>\n
- Perform basic data gathering, such as property searches and site selections, on behalf of fee-earner as appropriate<\/li>\n
- Populate template market documents, such as tour books, property flyers, and brochures<\/li>\n
- Schedule follow up meetings as necessary to review content<\/li>\n<\/ul>\n
Other Service Delivery<\/strong><\/p>\n\n- Compile information to be used in periodic landlord leasing activity reports
\nHandle client contact lists, including database management<\/li>\n - Execute property tour logistics for showing, including coordination with fee-earner and\/or licensed professional, scheduling meeting with Prospect, and arranging any other accommodations that may be required (e.g., delivering food, reserving space)<\/li>\n
- Coordinate the development of flyers, eBlasts or collateral on behalf of fee-earner with the Production Design Team.<\/li>\n<\/ul>\n
Maintain CRM<\/strong><\/p>\n\n- Update CRM system on behalf of fee-earner<\/li>\n
- Research potential conflict of new pursuits<\/li>\n
- Coordinate with fee-earner on the timely delivery of necessary information for CRM maintenance<\/li>\n
- Enter new leads and opportunities into the CRM system and update accordingly<\/li>\n
- Provide Deal numbers as needed for the proper recording of pursuit and deal related expenses<\/li>\n
- Review CRM with fee-earner to ensure the accuracy of the information<\/li>\n
- Coordinate Events and Conferences<\/li>\n
- Notify fee-earner of internal and external events and conferences
\nRegister fee-earner for desired events<\/li>\n - Coordinate travel and other logistics for fee-earner as necessary<\/li>\n<\/ul>\n
Deal Documentation and Revenue Accounting<\/strong><\/p>\n\n- Follow up with all parties on the execution of deal related documents as required
\nPrepare deal related documents and provide to fee-earner for review, approval, and delivery<\/li>\n - Coordinate with Legal for review and approval when template documents are insufficient<\/li>\n
- Create deal sheet and provide to fee-earner and Director of Operations for review and approval<\/li>\n
- Package Deal Sheet with deal documentation and submit to Revenue Accountant for processing<\/li>\n
- Close Deal in CRM as required<\/li>\n<\/ul>\n
Maintain Databases<\/strong><\/p>\n\n- Support population of Internal Listing Database on behalf of fee-earner
\nInputting new listings into database and uploading all required information to include but not limited to property, availability, and rental rate information<\/li>\n - Updating existing listings in database<\/li>\n
- Removing inactive listings in database<\/li>\n
- Coordinate with fee-earner for the collection of necessary information<\/li>\n
- Coordinate with fee-earner for the timely collection of necessary information to maintain third party sites<\/li>\n<\/ul>\n
Respond to Data Requests<\/strong><\/p>\n\n- Communicate requests with Marketing, Research, and Financial Analyst for the delivery of necessary information<\/li>\n
- Maintain calendar of due dates and follow up as necessary<\/li>\n
- Respond to requests under certain threshold, such as basic property or ownership searches<\/li>\n<\/ul>\n
Background and Experience<\/h2>\n
Demonstrated experience should include:<\/strong><\/p>\n\n- Bachelor\u2019s Degree<\/li>\n
- 2-4 years\u2019 experience in a professional organization<\/li>\n
- Proficiency in Microsoft Office applications<\/li>\n
- Proficiency in Adobe Pro and Adobe Sign<\/li>\n
- Proficiency in Adobe InDesign<\/li>\n<\/ul>\n
