The AVP will support the Real Estate Finance Chief Administrative Officer (CAO) in strategic support, project management, administrative operations, and expense coordination for the overall Real Estate business, including, but not limited to:

  • Aid CAO in the coordination of Americas Administrative Team of 35+ and growing, including:
    • Assign administrative assistants to new hires and transfers
    • Manage hiring process for new assistants including partnering with Human Resources and interviewing candidates
    • Evaluate the current administrative assistant model and seek solutions for streamlining and better serving the business
    • Act as the primary point of contact and partner with the CAO, business manager and/or Human Resources where needed
    • Manage and improve new administrative assistant onboarding and training
    • Approve assistants’ timesheets and expenses
  • General day‐to‐day support for the CAO with executing requests from key constituents of the business, including Human Resources and Americas COO
  • Create and implement reporting on expense budgets to track spend and inform strategic decisions
  • Coordination and approval of market data and research requests
  • Management of floor plans for 300+ employees, including new hire and transfer seating assignments
  • Manage broader office and team moves as applicable including floor layout strategy, planning, move communications and process oversight
  • Aid in coordination of all administrative requests for the U.S. Real Estate business
  • Oversee and approve exceptions to travel policy requests
  • Prepare internal memoranda and other materials to support strategic recommendations to senior management

The successful candidate must have:

  • Undergraduate degree with strong GPA; degree in Business/Management preferred
  • 7-10 years of related experience
  • Managerial experience a plus

  • Highly proficient in Excel, Word, and PowerPoint
  • Highly motivated and intelligent with the ability to work effectively in a team environment
  • Resourcefulness and thoroughness in conducting financial budgets, research, data compilation
  • Ability to “see the bigger picture” and get to the heart of issues rapidly
  • Excellent interpersonal and communication skills, both written and verbal
